Key Internal and External Contacts

This role involves daily interaction with management and professionals across Morgan Stanley as well as with clients and their assistants worldwide.

Primary Responsibilities

  • Maintain relationships with clients and their assistants while demonstrating discretion when handling confidential and material nonpublic information.
  • Answer and manage phone calls with professional etiquette, take accurate messages, and track executives’ whereabouts to manage urgent or sensitive communications.

Calendar Management

  • Take ownership of executives’ calendars, schedule meetings (in person or virtual) and conference calls, resolve conflicts, and escalate issues when needed.
  • Maintain and update contacts using the internal client relationship database and Outlook.

Conference Planning

  • Arrange conference rooms for meetings, including catering, multimedia equipment, and other logistics.
  • Coordinate closing dinners, client outings, virtual events, and internal events while ensuring compliance with firm policies and procedures.

Expense Management

  • Assist with meeting logistics and event coordination as required.
  • Support related administrative processes connected with expenses and event arrangements.

Travel Arrangements

  • Organize domestic and international travel including flights, hotels, car services, and visa applications.
  • Maintain travel profiles, obtain necessary approvals, and prepare detailed itineraries.
  • Prepare and submit expense reports in a timely manner.

General Administration

  • Prepare correspondence, memos, presentations, and meeting materials while coordinating with reprographics and mail services.
  • Maintain organized online folders, documentation, and records for bankers.
  • Leverage internal firm resources and available technology to complete tasks efficiently.
  • Maintain a well organized and functional workspace.
  • Provide backup administrative support for colleagues during leave or unplanned absences.
  • Assist managers with phone coverage, travel coordination, and other administrative needs.
  • Support additional projects and ad hoc tasks when requested.
