Responsibilities

As a Procurement Operations Specialist, you will support procurement applications and processes, along with accounts payable help requests. You will act as a single point of contact for global procurement professionals and suppliers, keeping both the procurement organization and client organization well supported.

• Provide Call Center Support: Respond to incoming calls and emails, deliver high-quality support, and resolve client queries related to procurement tools and processes. Receive and document clear, accurate help requests from IBM internal clients and suppliers.
• Resolve Problems and Escalate: Gather relevant problem information, generate problem reports, and escalate to the appropriate Level 2 contact when needed. Give clients regular updates on the status of their tickets.
• Maintain Accurate Records: Create a call log for every help request, making sure contact information is captured and problems are documented accurately.
• Utilize Knowledge Database: Consult the knowledge database for guidance when answering client questions, and apply knowledge of supported procurement applications to resolve issues.
• Deliver High-Quality Service: Show courteous, empathetic behavior with clients, using professional call handling skills and meeting high service standards.
• Exposure to Procurement Tools: Familiarity with IBM procurement tools and processes, including procurement applications and accounts payable systems.
• Call Center Experience: Understanding of professional call handling, including clear communication, problem determination, and conflict resolution.
• Organizational Structure: Basic understanding of global procurement's organizational structure and its relationships with internal clients and suppliers.
• Problem-Solving: Exposure to problem-solving techniques, such as gathering information, generating problem reports, and escalating issues.
• Software Skills: Familiarity with applications such as Excel and the ability to use knowledge databases effectively.
• Language Skills: Proficiency in additional languages may be beneficial for communicating with global clients and suppliers.
• Other Software: Familiarity with Microsoft Office tools beyond Excel may be advantageous.
• Procurement Application Knowledge: In-depth understanding of supported procurement applications and their functionality may improve problem-solving and support quality.
