Overview

Job Description

The Operations Analyst will review voice logs day to day between Client Relationship Managers (RCs) and clients, where trade details are discussed and agreed. The role requires confirming that all key trade-related details are clearly discussed, accurately captured, and documented in the applicable product-specific template.

Strong attention to detail, adherence to defined review standards, timely completion of assigned production duties, and appropriate escalation of exceptions, missing information, or first-level queries within set timelines are essential. The candidate may also act as a backup for peers and share best practices to support consistent quality delivery.

Your key responsibilities

  • Review voice logs between RCs and clients to validate that trade details have been discussed and agreed as per the required standards.
  • Listen to and understand client discussions held in English and Chinese (Mandarin and Cantonese), and accurately document the agreed details in English or the prescribed business template.
  • Complete the relevant product-specific voice log review template with accurate details, observations, and review outcomes.
  • Identify and highlight missing, incomplete, inconsistent, or unclear trade details, and escalate exceptions to relevant stakeholders within agreed timelines.
  • Ensure accurate and timely completion of daily production activities in line with defined SLAs, cut-off times, and quality expectations.
  • Perform quality checks on completed reviews to support consistency, audit readiness, and control effectiveness.
  • Assist in preparing and reviewing daily control and production reports, including tracking open items, exceptions, and follow-ups.
  • Support follow-up with RC and business teams to clarify or resolve deficiencies noted during voice log review.
  • Maintain proper documentation and evidence of review outcomes to support internal control, audit, and management reporting.
  • Coordinate with team members and stakeholders on complex cases, escalations, reporting requirements, and process improvements.
  • Act as backup for peers during absence and support knowledge sharing, cross-training, and continuous improvement.
  • Perform other administration, reporting, and control-related tasks as assigned.

Your skills and experience

  • Minimum educational qualification: University graduate with a bachelor's degree.
  • Chinese language proficiency (Mandarin and/or Cantonese): Candidates must understand spoken client conversations, interpret financial and investment terminology, and accurately document agreed trade details in English using prescribed Voice Log Review templates.
  • Good command of business English for accurate documentation, exception reporting, and stakeholder communication.
  • Understanding of trade lifecycle, banking or wealth management products, or control review processes is an added advantage.
  • Strong listening, comprehension, documentation, and analytical skills with high attention to detail.
  • Ability to identify gaps, inconsistencies, missing information, and potential control issues from recorded conversations.
  • Proficiency in Microsoft Office applications, especially Excel, Word, and PowerPoint.
  • Highly motivated, quality-focused, and able to work independently as well as within a team.
  • Ability to multi-task and work under pressure to meet production timelines, cut-off times, and quality standards.
  • Good communication skills and the ability to manage routine queries and first-level escalations professionally.
