Job Description
The Payments Processing Operator is responsible for accurate and timely handling of different types of payment transactions, including the processing of physical cash and valuables as well as cash related investigations. The role involves executing time sensitive and sometimes complex transactions on behalf of the bank’s internal and external clients.
This position also requires handling enquiries related to cash payments before and after execution, interacting with internal teams and external stakeholders when required.
Role Overview
- Capture and process payment transactions, including physical cash or valuables, ensuring accuracy and adherence to service level agreements and industry guidelines.
- Perform time critical operational activities and ensure all relevant payment information and parties are processed correctly.
- Support cash related investigations and respond to queries from internal stakeholders and clients.
- Identify potential operational risks and highlight opportunities for process improvement.
- Maintain coordination with internal teams and, when required, communicate directly with clients regarding payment processing services.
Key Responsibilities
Processing Standards
- Process transactions according to defined procedures and cut off times.
- Assist the team in day to day operational activities and coordinate with sending locations for clarifications.
- Communicate process updates or clarifications received from sending locations to the team.
- Collect data related to process issues and report them to the manager.
- Complete end of day activities according to established checklists and maintain proper records.
- Ensure reports and supporting documents are reviewed and signed by the responsible personnel.
- Maintain records of procedural updates and communicate relevant changes.
- Support onboarding and training of new team members according to defined training modules.
- Ensure proper operational backups are maintained within the department.
Escalation
- Escalate issues to supervisors or managers according to defined escalation procedures.
- Inform the team manager about exceptional situations to enable timely action.
- Ensure operational procedures and internal regulations are consistently followed.
- Raise process related ambiguities with supervisors or managers for clarification.
Compliance
- Identify potential business opportunities during routine transaction processing and share insights with management.
Business Opportunities
- Achieve assigned job objectives within agreed timelines.
- Contribute ideas that improve service quality and operational excellence.
- Conduct monthly departmental self assessments using defined checklists.
- Highlight control gaps and recommend corrective actions where necessary.
Additional Responsibilities
- Ensure updates or amendments to operational procedures are implemented within defined timelines.
- Support training of new hires and conduct assessments where required.
- Maintain accurate training records.
- Assist the manager in preparing team related MIS reports.
Skills and Experience
- Understanding of payment processing workflows.
- Knowledge of SWIFT messaging and back office payment operations.
- Awareness of operational risk and regulatory requirements.
- Exposure to payment operations and transaction processing environments.
- Graduate degree in any discipline.
