Role Definition
This role manages, organises, and maintains all controlled vendor documents and the project Job Book, covering requisition records, project records, quality management, and operations.
Responsibilities
- Document management: receive, track, log, and maintain all vendor documents from requisition through final approval.
- Control the issuance of document numbers, revisions, and formatting according to project standards. Validate Job Book completeness before project milestones and release activities.
- Maintain updated records of all project documentation and ensure easy traceability. Make sure only approved vendor documents are linked to Job Book records.
- Manage document revisions and keep a comprehensive record of all project-related documents. Monitor Job Book completion metrics and ensure accurate reporting.
- Support managers and engineers by ensuring timely document submissions and approvals. Coordinate with design, engineering, and project teams to resolve Job Book gaps.
- Monitor document turnaround times and escalate overdue submissions. Support audits by providing controlled documentation and records.
Skills and Competencies
- Data Gathering and Analysis: Knows data gathering and analysis tools and processes, and can collect and synthesize data from various stakeholders objectively to reach a conclusion. At basic level: strong knowledge of vendor documents and multi-discipline Job Books, excellent organisational and time management skills, high attention to detail and accuracy, strong communication and interpersonal skills, and the ability to keep sensitive information confidential.
- Analytical Thinking: Knows techniques and tools that support effective analysis, and can find the root cause of organisational problems and propose alternative solutions. At basic level: names analytical tools, describes business analytics software, gives examples of past problem solving, and helps others learn about these tools.
- Decision Making and Critical Thinking: Understands the decision-making process and can reach productive decisions based on informed judgment. At basic level: explains the steps of effective decision making, identifies issues needing a decision, names decision makers in the local environment, and describes which decisions the role may and may not make.
- Effective Communications: Transmits, receives, and interprets ideas and information accurately. At working level: liaises with project teams, clients, vendors, and subordinates on document submissions, approvals, and updates; accepts feedback constructively; delivers oral presentations and periodic document status reports to management; avoids unnecessary jargon; and trains staff on document control procedures and software.
- Technical Excellence: Knows a given technology and its application methods, and can develop solutions to significant technical challenges. At basic level: uses a structured approach to technical problems, keeps learning, shares case studies of technical excellence, and takes on new technical assignments.
- Software: Knows the types, features, and tools of 3D and PLM software, and can use, test, and upgrade these packages. At working level: knows 3D tools such as Plant 3D, Navisworks Manage/Freedom, and Autodesk Inventor; knows PLM tools such as Windchill and Synergies Adept; and helps others install and maintain software.
- Troubleshooting Technical Problems: Knows troubleshooting approaches and can anticipate, detect, and resolve technical problems in the development environment. At basic level: locates help facilities and troubleshooting guides, applies a systematic approach, identifies support resources, and follows problem reporting and escalation procedures.
