Job Description
Training Administration and Scheduling
- Course Scheduling: Plan and coordinate the overall training calendar including ground school sessions, Full Flight Simulator (FSTD) sessions, and aircraft training slots.
- Resource Management: Assign and schedule qualified instructors such as SFIs and TRIs for training activities while ensuring no scheduling conflicts and compliance with duty time limitations.
- Rostering: Prepare and publish rosters for trainees and instructors, and manage last minute changes or special requests when required.
- Logistics: Organize all training related logistics including classroom bookings, simulator bays, and required training materials. For international trainees, coordinate travel, accommodation, and visa related support where needed.
Regulatory Compliance and Documentation
- Record Keeping: Maintain trainee records within the Training Management System (TMS), including attendance, training progress, assessment outcomes, and logged flight hours.
- Compliance Checks: Verify that trainees meet all prerequisites before course start, such as valid medical certificates, licenses, and prior qualifications.
- Audit Support: Prepare and maintain documentation required for internal quality audits as well as external regulatory audits by DGCA and EASA.
- Certification: Generate and issue completion certificates, type rating qualifications, and other official documents once trainees successfully finish their programs.
Stakeholder and Customer Coordination
- Primary Point of Contact: Act as the main contact for trainees, responding to questions related to schedules, course requirements, and administrative procedures.
- Instructor Support: Provide administrative assistance to instructors by ensuring availability of training materials, schedules, and trainee information for each session.
- Internal Coordination: Work closely with departments such as FSTD operations, quality assurance, and customer service to ensure smooth delivery of training programs.
- Customer Service: Maintain communication with airline customers, share updates regarding sponsored trainees, and address any operational concerns.
The role requires awareness of compliance risks and a commitment to act with integrity, supporting the company’s reputation, regulatory adherence, and sustainable growth.
