Job Description
1. Training Administration and Scheduling
- Course Scheduling: Plan and coordinate the full training calendar, including ground school sessions, simulator training (FSTDs, Full Flight Simulators), and aircraft training slots.
- Resource Management: Schedule and allocate qualified instructors (SFIs/TRIs) for training activities while avoiding conflicts and complying with duty time limits.
- Rostering: Prepare and publish rosters for trainees and instructors, and manage last minute schedule adjustments or requests.
- Logistics: Organize training logistics such as classroom reservations, simulator bays, and training materials. For international trainees, this can include coordinating travel, accommodation, and visa related support.
2. Regulatory Compliance and Documentation
- Record Keeping: Maintain trainee records in the company Training Management System (TMS), including attendance, progress tracking, assessment outcomes, and flight hours.
- Compliance Checks: Verify that trainees meet required prerequisites such as valid medical certificates, licenses, and prior qualifications before training begins.
- Audit Support: Prepare and organize documentation needed for internal quality audits and external audits conducted by DGCA and EASA.
- Certification: Issue course completion certificates, type rating qualifications, and other official documents once trainees successfully complete their programs.
3. Stakeholder and Customer Coordination
- Primary Point of Contact: Act as the key contact for trainees, responding to queries related to schedules, course requirements, and administrative procedures.
- Instructor Support: Provide administrative assistance to instructors, ensuring they receive necessary materials, rosters, and trainee information before each session.
- Internal Coordination: Work with departments such as FSTD operations, quality assurance, and customer service to support smooth delivery of training programs.
- Customer Service: Maintain communication with airline customers, sharing updates about sponsored trainees and addressing related queries.
This role requires awareness of potential compliance risks and a commitment to act with integrity, supporting the company’s reputation and long term growth.
