Job Description
As a Graduate Project Assistant, you will support project management activities in alignment with the Arcadis Way of Project Management. You will work closely with project managers and project finance teams to ensure smooth operations throughout the project lifecycle. Your responsibilities will involve schedule and resource planning, document control, invoice tracking, project review support, and risk monitoring.
Key Responsibilities
Project Support and Administration
- Assist in setting up projects in Oracle ERP by coordinating project planning data.
- Maintain and update project work plans, resource schedules, and financial details with direction from Project Managers.
- Support the documentation and tracking of risks, mitigation actions, and lessons learned.
- Schedule meetings, document key project actions, and ensure timely follow-ups.
- Ensure all project-related documents are updated on the Collaboration Hub (SharePoint).
Finance and Invoicing
- Monitor cash flow and ensure timely invoicing in accordance with project milestones.
- Coordinate with Project Finance to maintain a healthy WIP (Work In Progress) and reduce DRO (Days Revenue Outstanding).
- Assist in reviewing and updating forecasts, supporting billing schedules, and identifying potential financial impacts.
- Raise and track purchase requisitions and manage PO documentation.
Project Performance and Compliance
- Track compliance with key project control documentation.
- Support project reviews, progress reporting, and performance analysis.
- Escalate project delays, invoicing concerns, or financial risks proactively.
Collaboration and Communication
- Build strong relationships with internal teams, project managers, and finance departments.
- Communicate effectively across teams and adapt to different communication styles.
- Train and support new Project Assistants as needed.
Qualifications
- Bachelor’s degree in any discipline
- 0–2 years of experience in project support, administration, or finance
- Proficiency in MS Word, Excel, and PowerPoint
- Experience in Oracle ERP is a plus
- Strong written and verbal communication skills
- High attention to detail and result orientation
- Analytical mindset and ability to solve problems
- Flexible with working hours during month-end and tight deadlines
- Willingness to learn and grow in project and financial management
